Paying a Balance In Full without Indicating Picked Up


When a customer picks up goods, it is very important to use the "Pick Up / Finish" button to take the final payment and mark the item or job as picked up.

Do Not simply take final payment using the "Make Payment" button and hand over the goods.

Paying a balance in full is not the same as picking up an item or service job. If the customer pays in full and takes possession of goods, but you have not told EDGE that the goods were picked up, then:

  • Sales tax will not be calculated or paid correctly. There could also be tax penalties.
  • Sales will not be calculated correctly and income tax might be underpaid. There could also be tax penalties.
  • Inventory will not be calculated correctly and too much property tax and insurance premiums might be paid.
  • Customer owned goods on hand will not be calculated correctly and you might pay more insurance premiums.
  • Commissions will not be calculated properly and your salespeople might be underpaid.
  • Deposits on account will not be reduced and after time your state government might seize it as abandoned property.
  • There is no record indicating the customer has possession.  The customer could come back and demand the goods and you would have no defense.
  • Some reports might be inaccurate. 

Layaways and Memo-Out (on approval) items are always ready for "Pick Up / Finish".

Service Jobs (repairs, custom jobs, appraisals, special orders) must be marked as done before they can be picked up. If the "Pick Up / Finish" button is not enabled, or if the service job in question does not appear on the pickup list, then the job has not been marked as done. The following procedures explain how to mark service jobs as done or ready for pickup.

  • To Mark a Repair Job as READY FOR PICKUP
    • Services > Done > Repair > Type envelope # or job #, or scan the barcode to mark as done
       
  • To Mark a Custom Job as READY FOR PICKUP
    • Services > Done > Repair > Type envelope # or job #, or scan the barcode to mark as done
       
  • To Mark an Appraisal Job as READY FOR PICKUP
    • Services > Find > Appraisal > Find and Edit the Appraisal, Set a DONE DATE, and SAVE
       
  • To Mark a Special Order as READY FOR PICKUP
    • You must allocate an inventory item to fill the order
    • Add the item, if the item matches the special order style # on file
